Compliance management is one of the most liability-intensive responsibilities of a facility manager. Missing an inspection deadline doesn't just mean a failed audit — it can mean code violations, fines, forced operational shutdowns, and — in the case of fire and life safety systems — catastrophic consequences if a system fails when it's needed.

This calendar provides a month-by-month guide to the recurring compliance requirements for most commercial buildings. Note that specific requirements vary by state, local jurisdiction, building type, and occupancy — always verify with your local authority having jurisdiction (AHJ) for requirements specific to your property.

How to Use This Calendar

For each item below, record:

  1. The specific requirement applicable to your facility
  2. Who is responsible (contractor, in-house staff, or licensed inspector)
  3. The scheduling deadline — don't wait until the calendar month; schedule 30–60 days in advance
  4. Where documentation is stored and filed


Monthly Requirements (Every Month)

  • Emergency lighting: 30-second function test — document in test log (NFPA 101)
  • Exit signs: Verify illumination — document with emergency lighting test
  • Fire extinguishers: Visual inspection — verify pressure gauge in green zone, pin intact, no visible damage (document)
  • Generator: Test run minimum 30 minutes under load (NFPA 110) — check oil, coolant, fuel, battery
  • Transfer switch: Confirm automatic transfer switch operation during generator test
  • Elevator: Visual cab inspection — lighting, phone, leveling
  • HVAC: Filter inspection — replace per schedule
  • Condensate drains: Inspect pan for standing water
  • BAS: Review alarm and fault log — clear or action all active faults
  • Grease traps (food service): Inspect and pump per loading — typically monthly for active kitchens

Quarterly Requirements

  • Sump pump: Test float switch and pump operation
  • Eyewash stations: Weekly activation required; quarterly full inspection (ANSI Z358.1)
  • Water treatment (cooling towers): Water quality testing and treatment review (Legionella prevention)
  • HVAC — cooling season: Refrigerant pressure check, coil inspection (Q2)
  • HVAC — heating season: Combustion efficiency check, heat exchanger inspection (Q4)
  • Generator: Full-load test (some jurisdictions and life safety applications require quarterly)
  • AED (if present): Functional test and battery/pad expiration check

Semi-Annual Requirements

  • Kitchen hood suppression system: Inspection and service by licensed fire suppression contractor (NFPA 96 — every 6 months for solid fuel, every 6 months for high-volume cooking, annually for low-volume)
  • Fire alarm: For large systems (>1,000 devices), semi-annual device testing may be required (NFPA 72)
  • Irrigation: Spring startup and fall winterization with backflow test
  • Roof: Inspection after winter season (spring) and before storm/winter season (fall)
  • HVAC seasonal service: Spring cooling startup and fall heating startup visits by licensed HVAC contractor

Fire and Life Safety
